Overview of sales orders for assigning commissions

Introduction

Commissions are fees given to employees for services rendered, and incentives given to customers (sales representatives) for sales orders exceeding a certain amount. In Exact Globe Next, commissions can be assigned to employees, distributors, or customers. However, commissions should be assigned to the sales orders immediately after the sales orders are processed. Commissions can only be assigned to processed sales orders. From this overview, you can:

  • view the selected sales order
  • manually assign commissions to the selected sales order
  • automatically assign commissions to the selected sales order
  • remove sales orders from the overview, or
  • remove commissions assigned to the sales orders

You can also assign commissions to the sales orders before the sales orders are completed in the Sales orders screen (go to Order Entries Sales orders, select the relevant sales order, click Open, and then click Specific).

Note: This screen is available only if you have E-Commission Invoices included in your license.

Fields

You can filter the sales orders that you want to display by defining your search criteria and clicking Refresh. The sales orders that match the search criteria you have defined are then displayed. A list of options will be displayed if you click  at Warehouse, Ordered by, Invoice to, and other fields. From the list, make your selection and click Select.

Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.

Sales order date

Type or select the start date and end date to display sales orders that are created within that period.

Note: Typing or selecting only the start date will display sales orders that are created on and after the selected date. Typing or selecting only the end date will display sales orders that are created on and before the selected date.

Advanced/Simple

Click Advanced to expand the search criteria. You will see Warehouse, Assortments, Ordered by with Classifications and Reseller, Invoice to with Classifications and Reseller, Sales order, Selection code, Fulfillment date, and Show: Assigned.

Click Simple to hide the search criteria. You will see only Sales order date. This button is available once you click Advanced.

Warehouse

Type or select the warehouse code to display sales orders with the selected warehouse.

Assortments

Click this to select the assortments which the items are linked to. In the Assortments screen, select an assortment and click Select then click Close to save and exit. “In use” (with a green check mark) is displayed once an assortment is selected.

Note: Assortments can be defined at Order Items Assortments or at System General Settings, in Item data settings.

Ordered by

Type or select the ID or name of the debtor who placed the sales order.

Classifications (for ordered by debtors)

Type or select the classification of the debtor who placed the sales order.

Note: The classification of the ordered by debtors depends on the Classification defined at the debtor maintenance (go to Finance Accounts receivable Maintain, select the relevant debtor, and then click Open), in the Basics tab. You can also define classifications at System General CRM Classifications.

Reseller (for ordered by debtors)

Type or select the ID or name of the reseller for the debtor who placed the sales order.

Invoice to

Type or select the ID or name of the debtor who will be receiving the invoice.

Classifications (for invoice to debtors)

Type or select the classification of the debtor who will be receiving the invoice.

Note: The classification of the invoice debtors depends on the Classification defined at the debtor maintenance (go to Finance Accounts receivable Maintain, select the relevant debtor, and then click Open), in the Basics tab. You can also define classifications at System General CRM Classifications.

Reseller (for invoice to debtors)

Type or select the ID or name of the reseller for the debtor who will be receiving the invoice.

Sales order

Type or select the sales order number or sales order number range. You can also select the All check box to display all the sales orders. By default, the All check box is selected.

Selection code

Type or select the selection code of the sales order(s).

Note: The selection code of the sales orders depends on the Selection code defined in the conditions screen (go to Order Entries Sales orders, select the relevant sales order, click Open, and then click Conditions), under the Analytical group section. You can also define selection codes at System Logistics Selection codes.

Fulfillment date

Type or select the start date and end date to display sales orders that are fulfilled within that period. You can also select the All check box to display sales orders with any fulfillment date. By default, the All check box is selected.

Note: Typing or selecting only the start date will display sales orders that are fulfilled on and after the selected date. Typing or selecting only the end date will display sales orders that are fulfilled on and before the selected date.

Show: Assigned

Select this check box to display sales orders which are linked to phantom items. If this check box is not selected, only completed sales orders without any rule assigned are displayed.

Buttons

Some buttons are enabled only when a sales order is selected. These are the Sales order, Manual entry, Apply rules, No commission, and Undo buttons.

Refresh

Click this to display sales orders based on the defined criteria.

Sales order

Click this to view or edit the selected sales order. For more information, see Creating and maintaining sales orders.

Manual entry

Click this to manually assign commissions to the selected sales order. For more information, see Manually assigning commissions to sales orders.

Note: Item rules (at Order Items Rules) must be created before commissions can be assigned.

Apply rules

Click this to assign commissions to one or several sales orders. In the Apply rules screen, click Assortments to select the assortments which the items are linked to (if needed) and then click Close. Click Refresh to update the commission item list based on the defined criteria and then click Start to generate the selected commission assigned to the selected sales orders, or click Close to exit.

No commission

Click this to specify that no commission is to be assigned to the selected sales order. Once this button is clicked, no commission can be assigned to the selected sales order and the selected sales order will not be displayed in the overview.

Undo

Click this to remove the commission which has already been assigned to the selected sales order.

Select all

Click this to select all the displayed sales orders.

Close

Click this to exit.
